JOB SUMMARY:

The Part-Time Administrative Clerk for the Parks and Recreation Department will provide essential administrative support to ensure the smooth operation of the department. Professional public interaction in Park and Recreation Department with citizens, coaches, vendors, agencies, and other employees in person and by telephone. This role encompasses a variety of tasks including general administrative duties, communications, managing rentals, and supporting department events. The clerk will work closely with the Parks and Recreation Director and the full-time administrative clerk to handle day-to-day office functions and special projects.

  • General Administrative Clerk Duties:

      - Perform general administrative tasks for the Parks and Recreation Department.

      - Assist the Parks and Recreation Director with secretarial duties.

      - Support the coordination and execution of city events as assigned.

      - Manage shared office supplies and needs, including copier paper, staples, etc.

      - Perform other duties as assigned by the Parks and Recreation Director.

     

  • General Communications:

      - Answer and return phone calls and voicemails.

      - Handle emails, mail, and walk-in inquiries.

      - Manage money deposits.

  • Administrative Tasks:

      - Record and manage timesheets (Comp Time).

      - Take and record minutes for staff meetings and Park Board-type meetings.

      - File, Type, and report Park Board minutes.

  • Social Media/Marketing:

      - Manage PNR social media accounts, including responding to Facebook messages (shared with the full-time admin clerk).

  • Jarvis System Management:

      - Handle payment registration and ticketing.

      - Maintain the website and activity calendar.

  • Rentals:

      - Manage communications, marketing, payments/refunds, and damages related to rentals.

      - Payment Systems:

      - Oversee Square payment processing and USAePay for financial transactions.

  • Splash Pad:

      - Order maintenance and supplies.

      - Manage employees, including hiring, interviewing, training, payroll, and scheduling.

      - Oversee splash pad rentals.

  • Drink Machines:

      - Ensure drink machines are stocked.

  • Sponsorships:

      - Manage the Banner Sponsorship Program.

  • Events:

      - Assist with special events as assigned.

JOB SUMMARY

This full-time, non-supervisory, position that divides work hours to perform clerical, scheduling and financial duties as well as diverse duties in environmental education, conservations, and community engagement within the Big Canoe Creek Nature Preserve and other City-owned properties. They are responsible for assigned correspondence and/or minutes, tracking schedules for park rentals, collection and balancing of fees for program participation and park rentals, both online and walk-in payments, posting to internal accounts, and forwarding financial information to City Clerk’s office. Professional public interaction in Park and Recreation Department with citizens, coaches, vendors, agencies, and other employees in person and by telephone. Planning, developing and administering educational programs for preserve visitors, school groups, and the general public. Individuals in this role work closely with preserve staff to develop educational tools and programing to enhance visitor experiences. They manage and host educational events held at the preserve, prepare materials to be used at the events, participate in the set up and tear down of events and collaborate with other groups involved. Employees in this job class also communicate with vendors and participate in a variety of public relations activities in an effort to promote the preserve.

ESSENTIAL FUNCTIONS of JOB DUTIES and RESPONSIBILITIES

  1. Administrative Clerk
    • Perform general administrative and clerical functions
    • Process outgoing and incoming mail.
    • Prepare, maintain, and secure files.
    • Receive and post payments and maintain payment records
    • Provide information and assist visitors as needed.
    • Operate general office equipment to include, copiers, fax machines, and computers.
    • Perform other job-related duties as requested by the Parks and Recreation Director.
  2. Outdoor and Conservation Education
    • Develop and implement educational programs and workshops focused on environmental awareness, wildlife conservation, and sustainable practices.
    • Conduct guided nature walks, interpretive hikes, and hands-on activities for visitors of all ages.
    • Collaborate with local schools, community groups, and organizations to deliver engaging educational experiences.
  3. Field Trip Coordination:
    • Coordinate and schedule field trips for schools, scout troops, and other groups.
    • Prepare educational materials and resources for field trip participants.
    • Facilitate on-site activities and ensure a safe and enjoyable experience for all visitors.
  4. Grant Writing:
    • Research funding opportunities and prepare grant proposals to support conservation initiatives, educational programs, and facility improvements.
    • Maintain accurate records and documentation related to grant applications and funding.
  5. Social Media and Marketing:
    • Manage social media accounts and website content to promote the park and recreation department and nature preserve and upcoming events.
    • Create engaging multimedia content, including photos, videos, and blog posts, to share the preserve's stories and achievements.
    • Develop marketing materials, such as brochures, flyers, and newsletters, to attract visitors and community involvement.
    • Overseeing the designing, ordering, and selling of merchandise and promotional items.
  6. Volunteer Coordinator:
    • Recruit, train, and coordinate volunteers to assist with various projects and events at the nature preserve.
    • Provide ongoing support, recognition, and opportunities for volunteer engagement and growth.
    • Develop and implement an internship program for secondary and post-secondary students. 
  7. Special Events and Group Events:
    • Plan and coordinate events and tours, in conjunction with the Parks and Recreation Director and BCCNP Manager, such as Summer Bash, Run 4 the Parks, Creek Jam, etc.
    • Work closely with event vendors, speakers, and partners to ensure successful event execution.
  8. Media and Press Relations:
    • Cultivate relationships with local media outlets and journalists to generate press coverage and raise awareness about preserve initiatives and accomplishments.
    • Prepare press releases, media kits, and other materials to share news and updates with the public.
  9. Farmers Market:
    • Soliciting and cultivating relationships with farmers and vendors, conducting farm visits, and managing the market.
    • Working with the Alabama Farmers Market Authority.
  10. Splash Pad:
  • Overseeing the Splash Pad operations including hiring, training, ordering, rentals, scheduling, etc.

Part time position. The City of Springville is searching for a bus driver with a heart for service for the seniors within the Springville community. Part-Time BCCNP Attendant 

JOB SUMMARY

The part-time Parks and Recreation Big Canoe Creek Nature Preserve Attendant will perform diverse duties assisting in the day-to-day oversight and patrol of the Big Canoe Creek Nature Preserve grounds, trailheads, trails, parking lot, facilities, and public areas. The position is primarily supervising the Big Canoe Nature Preserve on weekends.

JOB DUTIES and RESPONSIBILITIES:

Under direction from the BCCNP Manager support efforts include:

·       Responsible for ensuring the entrance gate opens and/or closes at designated seasonal times of operation.

·       Capable of hiking and learning all trails of the Preserve.

·       Removes litter from grounds, parking lots, and other public areas; assesses, empties,

and maintains proper waste receptacles/containers and materials.

·       Notifies the Manager or Maintenance Tech of any reported adverse trail conditions, i.e., fallen tree obstructing a trail, etc.

·       Report to the Manager or Maintenance Tech any repairs needed for all tables, benches, fences, kiosks, signs, doors, gates, railing, and small structures.

·       Enforces compliance with preserve rules tactfully and courteously.

·       Maintains restrooms for cleanliness and ensures adequate toilet paper available.

·       Performs customer service functions; provides information and assistance relating to facilities or activities.

·       Responds to routine questions/complaints, research problems, and initiate problem resolution.

Splash Pad Manager Job Description: 

This seasonal part-time and flexible position will oversee the staffing of the Big Springs Splash Pad in Springville, AL. The splash pad manager will handle scheduling, customer service, and daily employee operations. 

Job Responsibilities and Duties: 

  • Overseeing splash pad employees 

  • Scheduling

  • Managing time-off requests

  • Creating a schedule for employees 

  • Managing coverage for missing staff

  • Managing time clock 

  • Daily Check-Ins

  • Visiting the splash pad to ensure employees are performing roles and responsibilities

  • Ensuring the splash pad is being cleaned properly by splash pad staff

  • Coordinating with Parks and Rec Staff during weather events 

  • Advising splash pad employees on closure for lightning/weather/etc. 

  • On-Call 

  • The splash pad manager will serve as the point of contact for staff to contact with any issues that arise during the shift.

  • Customer Service
